Invoicing app for tradies: what actually matters when you bill from the ute

The best invoicing app for a tradie isn't the one with the longest feature list — it's the one that gets the invoice out of the ute before you've driven off, gets the GST right without you thinking about it, and doesn't start charging you the month your business gets busy. Why "invoice tonight" quietly costs you money

Every tradie knows the stack: jobs done, invoices not sent, "I'll do them Sunday." • Invoice from your phone in about a minute. Type the job, press send, customer has a proper PDF invoice by email — from your business, with your logo — before you're off the driveway.
• GST done right, automatically. Registered: proper tax invoices with your ABN and GST itemised. Not registered: plain invoices, no GST. You should never have to do that arithmetic on a phone keyboard.
• Quotes on site, accepted online. Quote the job at the kitchen bench, the customer taps Accept, and the accepted quote becomes the invoice — scope, price and terms agreed in writing before the work starts.
• Every way to pay, on the invoice. Bank transfer and PayID at minimum, card payments for the customers who pay the moment paying is easy. The money should settle to your own bank account, and check who takes the card fee.
• Repeating invoices. Monthly maintenance and service contracts should bill themselves — weekly, fortnightly or monthly — not live in your head.
• Did they open it? Knowing the invoice was viewed on Tuesday changes the follow-up call entirely.
• BAS-time totals. Running GST and income totals, so BAS is reading numbers off a screen instead of excavating a glovebox.

The pricing traps

Invoicing apps love the tradie market, and the pricing is built accordingly. Watch for: free plans capped at a handful of invoices a month (a working tradie blows through that in week one); "from $X/month" tiers where quotes, recurring invoices or card payments sit two tiers up; per-user pricing that doubles when your apprentice needs the app; and percentage fees skimmed off card payments on top of the processor's cut.
